Overview of District Assessment Coordinator (DAC) Responsibilities

The following is a very high level overview of District Assessment Coordinator responsibilities.  For more detailed deadlines and specific dates go to the calendar under each assessment.

August

Forward
  • Accessibility Guide and Training video available (beginning of September)

DLM
  • Educators training is now available

September

ACT
  • Submit accommodations request to ACT.

ACCESS for ELLs


DLM
  • Activate KITE Educator Portal account for new users
  • Clean up users in Educator portal. Must remove users that are no longer employed by the district or are no longer administering the DLM.
  • Encourage educators to begin 2022-23 training 

Forward
  • Current DACs must clean up user prior years permissions in the DRC INSIGHT Portal. Remove permissions and inactivate any user no longer employed by the district
  • Keep SIS current and regularly push data to WISEdata

NAEP
  • Informational email sent to schools
  • Register on Assessment management System (AMS), (schools and districts register separately)
  • Update School information on AMS (designated NAEP school coordinators)

October

ACT
  • Submit accommodation requests to ACT.
  • Attend ACT Accommodations and Supports Webinar.

ACCESS for ELLs
  • Monitor completion of staff test administration training on WIDA website
  • Ensure technology coordinators install testing software and run system checks
  • Finalize SIS ELP codes for late October roster pull

DLM
  • Updated manuals posted
  • Begin to upload enrollment, user and roster files using new templates

NAEP
  • Student "e-file" list submission (state will e-file for schools: ensure Student Information Systems are up-to-date)

November

Update Annual Required DAC and DTC Forms to OEA (due first week of November)
ACT
  • Manage test participation in PANext
  • Update school test coordinator contact information in PAnext
  • Test Administration Q&A Training Session (webinar)
  • Submit accommodations requests to ACT

ACCESS for ELLs
  • Finish staff training
  • Ensure technology is working
  • Organize practice tests for students
  • During the last week of November:
    • Adjust test sessions as needed
    • Receive and inventory physical test materials
    • Order additional materials, including braille and large print, extra Writing response booklets if needed.

DLM
  • Begin to download updated secure browser onto testing devices
  • Begin to upload enrollment, user and roster files using new templates

Forward
  • DTC Training Video available
  • DAC Permissions assigned in the DRC INSIGHT Portal
  • Technology User Guide, Technology training, and other technology resources available

December

ACT
  • Submit accommodations requests to ACT
  • Attend ACT Site Readiness Webinar
  • Complete Site Readiness Tasks, including Mock-Administration and ProctorCache (online testing)

ACCESS for ELLs
  • Testing Window Opens

DLM
  • Begin to upload enrollment, user and roster files using new templates
  • Oversee completion of required training for ALL test administrators

  • Braille test materials Order window opens (via DRC INSIGHT Portal)
  • Online Tools Training (OTT) updates posted (OTT available year round)

January

ACT
  • Deadline for ACT to receive accommodations requests in the Test Accessibility and Accommodations System (TAA)
  • Confirm student rosters (after DPI uploads to PAnext)
  • Deadline to submit reconsideration requests of ACT-Approved accommodations in TAA

ACCESS for ELLs
  • Additional material order window closes (3rd week)
  • Test window closes (last week)

DLM
  • Begin to upload enrollment, user and roster files using new templates
  • Oversee completion of required training for ALL test administrators

  • DAC and SAC Pretest training videos available
  • Test Administrator Training video available

NAEP

  • Administrative platform opens (PAnext)  - update contact information and test staff
  • Enter accommodations and EL supports
  • Order paper accommodated test materials

February

ACT
  • ACT materials ship to schools; schools check in materials
  • Schools conduct pretest sessions (students complete MyACT registration)
  • Schools conduct room supervisor and proctor training
  • Attend Test Administration #2 Webinar

ACCESS for ELLs
  • All materials due back at DRC for scoring (first week)
  • Data validation window – ensure non-tested codes, student demographics correct

DLM
  • Data Validation/Revisions (preparation for operational spring window)
  • Oversee completion of required training for ALL test administrators
  • Deadline to mark braille in PNP
  • Send Parent Notification Letters/Brochures

Forward
  • DAC, SAC, DTC, and STC Q & A Webinar
  • Oversee completion of required training for all test administrators
