Letter to Districts and Administrators

Recommendation

We recommend use of an individual's name as listed on his or her most current social security card to reduce the name discrepancy warnings between agencies.

Software/Application Changes

  • On the contact screen districts will need to report the Primary Contact as the person who is responsible for completing the PI-1202 Report. The Secondary Contact should be reported as the person who is responsible for verifying the accuracy of the report. Both primary and secondary contact person fields are required to be completed before locking is permitted.
     
  • Text will be displayed on the Assignment Information Screen for assignment code, Working LEA, and School fields.
     
  • Birth year discrepancies between districts will be changed to an error; previously this was a warning. Districts will have to resolve before locking their report.
     
  • Race/ethnicity discrepancies between districts will be changed to an error; previously this was a warning. Districts will have to resolve before locking their report.
     
  • The warning on high degree will not be displayed to districts. We will default to highest degree provided from the various districts submitting information for the same individual.
     
  • District-wide assignments will be available to use; select 0000 in the drop-down for school field on Assignment screen. We still recommend that individuals be reported at the school level when working at five or less schools. There are some positions that can not use the 0000 school code for the assignment record, such as positions: 19 Teacher In Charge, 51 Principal, 52 Assistant Principal, 53 Teacher (except 53-0840, 53-0841 and 53-0935), and 84 Speech Language Pathologist. If a district is reporting an individual as position 05 District Administrator, they should report the assignment using 0000 as the school. (This is not valid for 2R Charter Schools; they should report using their respective school code.)
     
  • CESA as a hiring agency will be allowed to report staff when working for a district as district-wide (0000). There are some positions that can not use the 0000 for the assignment record such as positions 19 Teacher In Charge, 51 Principal, 52 Assistant Principal, 53 Teacher (except 53-0840, 53-0841 and 53-0935), and 84 Speech Language Pathologist.
     
  • Districts will receive an error if an elementary-all subject teacher (53-0050) is reported working more than four grades and a warning if working three or four grades. If you have an individual providing science enrichment for students in the elementary school for grades KG-05, the individual should be reported as providing 0620 General Science for grades KG-05. The individual would need to hold a valid elementary school license for grades KG-05.
     
  • Districts will receive an error for total years of experience for administrative and licensed positions if total years experience is less than one year or null, exception is contracted employees and DHFS and DOC.
     
  • Districts will receive an error for local years of experience for administrative and licensed positions if local years experience is less than 1 year or null, exception is contracted employees and DHFS and DOC.
     
  • Districts will receive an error if local years of experience is more than total years of experience.
     
  • Districts will receive an error if high degree is less than 3, Associate Degree, for all licensed/administrative positions, exception is contracted employees and DHFS and DOC.
     
  • Milwaukee Public Schools, 3619, will be allowed to report individuals with position/assignment code combinations of 53-0506, 53-0511, 53-0515, 53-0800, 53-0810, 53-0811, and 53-0830 at the district level (0000). (This will be monitored and if Milwaukee overuses, they will be required to report at school levels.)
     
  • Districts will need to report Guidance Counselors (position 54) as grade specific.
     
  • Districts will receive an "invalid grade for position/assignment combination" error if they report a teacher as position 53-0050 with grades of 09, 10, 11, and/or 12.
     
  • Districts will receive an "invalid grade for position/assignment combination" error if they report a teacher as position 53-0808 with any grades of 04-12 reported.
     
  • "Is this employee teaching at least one LEP student in this assignment?" question will be removed from the report.
     
  • On position 53 (and 84) the following question "Does this employee hold bilingual or ESL certification for this assignment?" will be changed to "Does this individual teach in a state or locally funded bilingual education program?" Answer yes (Y) ONLY for staff teaching in a state or locally funded bilingual education program. Answer no (N) for any other staff, including staff teaching a foreign (world) or second language to English-speaking students.
     
  • The two questions for first year teachers will be removed: ("Does this employee have a major in this content area?" and "Has this employee taken a content licensing test in this area?")

Position/Assignment Code Changes

  • All area/assignment codes for positions 09 Subject Coordinator, and 18 Department Head will be collapsed to 0000, no description beyond position.
     
  • Assignments for Position 80, Director of Special Education and/or Pupil Services, will be collapsed back into one code because of categorical aid funding issue. We will use the 0000, no description beyond position.
     
  • A new/changed position titled District Instructional Technology Coordinator is being added. Position code is 92. (Job description: District Instructional Technology Coordinator is responsible for educational leadership in the direction and coordination of instructional technology program; including supervision and evaluation of professional technology staff.)
     
  • Position code 92-0000 was previously Director of Transportation. Director of Transportation will now be 99-9092.
     
  • Position 88 will be changed to Instructional Technology Integrator (was Audiovisual Technology Specialist). (Job description: Instructional Technology Integrator is a teacher who integrates technology into curriculum. Person responsible will work and collaborate with teachers to facilitate the integration of educational technology into the curriculum through teaching and learning activities.)
     
  • Position/assignment code combination 98-0980 and 98-0990 are not valid codes for the PI-1202 report. If they are used, an invalid codes error message will be received.
     
  • The following codes will be converted in the application when "create records from the existing DPI data files" is used (districts uploading files will have to change before upload).
     
    • Director of Food Service code changed from 16-0000 to 99-9016.
    • Bus Driver code changed from 67-0000 to 98-9067.
    • Clerical/Support Staff code changed from 68-0000 to 98-9068.
    • Executive Assistant/Support Supervision code changed from 69-0000 to 98-9069.
    • Plant Operation Personnel code changed from 71-000 to 98-9071.
    • Plant Maintenance Personnel code changed from 72-0000 to 98-9072.
    • Cafeteria Worker code changed from 73-0000 to 98-9073.
    • Athletic Coach code changed from 77-0000 to 98-9077.
    • Advisor to Student Club code changed from 78-0000 to 98-9078.
    • Bookkeeper code changed from 89-0000 to 98-9089.
    • Director of Transportation code changed from 92-0000 to 99-9092.
    • Director of Athletics code changed from 93-0000 to 99-9093.
    • Director of Public Relations code changed from 94-0000 to 99-9094.
    • Recreation Department code changed from 95-0000 to 98-9095.
    • Research code changed from 96-0000 to 98-9096.
