Individual Student Enrollment System User Functions


The Individual Student Enrollment System (ISES) provides a menu of user functions to submit and maintain student enrollment data. Each user will be assigned by their district to a user role according to their duties as related to the ISES. Summary information is provided, for detailed information refer to the specific application documentation.

DATA SUBMISSION

  1. File Upload/Create Student Record List - Used by district / school to begin ISES processing. District / school must select to upload a file or create a file (Discipline, Year End, 3rd Friday September, and Child Count only) from existing WSLS and ISES data.
  2. Summary of Schools (district level users only) - Used by district to monitor school progress, manage school locking and access Student Record Lists for individual schools.
    • Validate - Process initiated from Summary of Schools to run the validation processes for all schools within the district. Validation will be queued similar to file upload. While processing a user will not have the ability to modify student record data within the district.
    • Cancel - Used to cancel a district validation request which is in the queue, but not yet processing
    • Lock - Used by district to lock all schools and submit student records to the DPI. The validate process is initiated, if no errors are returned the user is prompted to acknowledge summarized warnings. Once acknowledged all schools within the district will be locked and no modification of student data will be allowed.
    • Unlock - Used by district to unlock a school for further modification.
  3. Student Record List - Used by district / school to view, modify and enter new student records. This includes Student Record List and Individual Student Record Screens.
    • Validate - Process initiated from Student Record List to run validation process. Validation will be queued similar to file upload. While processing a user will not have the ability to modify student record data within the school.

STATUS AND RESULTS

  1. Process Status - Used by district / school to view the status of files submitted for upload and the status of the validation process. (Process Status - File Upload and Validation).
  2. Results - Used by district / school to retrieve upload and result files from the upload process and requested files. (Results - File Upload and Download Requests)
  3. Report Menu (All Roles)- Used by district / school user to view progress, summary and error reports.
  4. File Download Request - Used by the district / school user to request a student record file. Two file layouts shall be available, Baseline (file upload layout) and Reporting (complete ISES recordset). After request submission, file will be available from the results function.

ADMINISTRATION

  1. District / School ISES Preferences - Each district / school will enteror pull forward contact information, SIS indicator, and file format used for sending/receiving files.
  2. District Post Expulsion Services - When a district provides services post-expulsion to non-disabled students, the district must provide information regarding the types of services offered.
  3. District Certification - Each district must certify student information submitted for Year End, Third Friday of September, and October 1 Child Count.
OTHER FEATURES
  1. User Privacy Agreement (All Roles) - Each user must agree to the most current privacy statement prior to entry into the ISES. This function will check user status at each entry to the ISES, but display a screen only when agreement is required.
  2. District / School Selection (multi district / school users only) - Used by users with roles assigned for multiple districts and/or schools to select one district or school for the session.
  3. Exit Application - This function will return a district user working in a specific school to the district main menu. School users and district users working at the district level will exit the application, releasing resources and directing the user to log out of WAMS.
  4. Help - Used by district / school to access online help documentation (RoboHelp).
