ISES Progress & Summary Reports - GlossaryClick on the name of an Individual Student Enrollment System (ISES) Progress and Summary Report below for definitions and other information about terms used in column headings of the Report.
Note that certain ISES records are not counted in any ISES Progress and Summary Reports. Also note that public reporting and accountability are based on the "Show: All Students Accountable" option. In general, the student groups included in public reports are the ones that appear when "View By: All *'d Variables" is selected.
Total students. This "Total" includes students with Record Type = CD = count date, Count Date Status = R, P, or A = receiving services, and Max_Age_Year is no earlier than the school year that includes the count date. If records are missing data on one or more selected report options or other required data, then these records are omitted from counts. Students with Record Type=CDN are also omitted. Caution: Because 2003-04 summer dropouts were last enrolled in 2002-03, and because 2003-04 enrollment records are the earliest data available through ISES, the 2003-04 ISES Dropout Report does not include "Summer Dropouts". For one year only, 2003-04 Summer Dropouts are collected in a separate file. Summer Dropouts were first collected through ISES in fall 2005. Note that the "Grade Range" filter (right side above the table) defaults to "07-12." This is because dropouts are publicly reported for students in these grades.
Total who were expected to complete school term. This "Total" is the sum of students who actually completed school term X plus mid-term year X dropouts plus and summer dropouts after year X-1. "Total" does not include students who started the year and then transferred before completing the school term, even if they later dropped out, or students whose Max_Age_Year is before the school year of the report. "Total" does include students who enrolled later in the year. 'Completed School Term?'=Y. This is the number of students with 'Completed School Term?' indicator set to Y for school term X. Early school term completers including high school completers may be counted as 'Completed School Term?'=Y. Mid-term X dropouts. 'Exit Date' in school term X, 'Completed School Term?'=N, and 'Exit Type' of ETC or ODO. Student was not known to be continuing on or before fall count date of school term X+1. Summer dropouts - Full term X dropouts. No term X YE record exists, but 'Completed School Term?' =Y for Year X-1, and 'Exit Type' of ETC or ODO. Summer dropouts comes from YE records for Year X-1. Other data come from YE records for Year X, and users have a chance to update in Year X. Student was not known to be continuing on or before fall count date of school term X+1. Summer dropout data were not available through ISES for 2003-04. See 2003-04 Summer Dropout Collection. ETC. Expected transfer/ promotion to new school covered by WSLS; not known to be continuing. When "Show All Students Accountable" is selected, ETCs typically get counted for expected transfer district/school. Click on ETC count to see most recent school attended and contact information. Total who were expected to complete high school. This "Total" is the sum of the cohort dropouts, students who reached maximum age (21) without completing high school, and high school completers. "Total" does not include students whose Max_Age_Year is before the school year of the report. (Please note that "Total" will not include all the cohort dropouts until 2007-08.) Dropouts. Dropouts have the same meaning here as in the Dropout Report and include both mid-term dropouts and summer dropouts. (Note that complete cohort dropout data will not be available through ISES until 2007-08 dropout data are collected.) Maximum Age or Max Age. Maximum age is 21 and is based on birthdate in WSLS. Students who turned 21 prior to the beginning of school term X+1 without completing high school are counted for year X as students who reached the maximum age. Students Completing High School. Students who earned a high school completion credential on or before the exit date are counted here. These counts are provided by credential type. Uses: The Exit Type Report provides summary data about students exiting your school, the circumstances of the exits, and the relationship between the numbers of exiting and continuing students during any given school year (July 1 through June 30). Because only the most recent records in the school, district, or state are counted, the "Total" on the school level report might be more than the "Total" on the district level report which might be more than the "Total" on the state level report. The Exit Type Report is not directly used for any public reporting purposes but may provide background information in reviewing other ISES progress and summary reports.
Total # of students with YE Records. This "Total" includes all students who have WSLS records covering enrollment at any time during school year X (July 1 through June 30) except students whose Max_Age_Year is before Year X. Students count only once in in the "Total" on any given report row. For any student with multiple YE records in any given year, only the most recent YE record in the school, district, or state is counted on the school, district, and state rows of the report, respectively. Students with exit dates in the most recent YE records for year X. This count includes any student in enrollment status during school year X and whose most recent YE record for year X includes a WSLS exit date between July 1 and June 30 of that year. [NOTE: Summer high school completers (exit type HSC or PCC) count in this column of the Year X Exit Type Report if they exit after July 1 (the beginning of the year X) even if these students are counted on the High School Completion Report for Year X-1. Also note that possible dropouts (exit type ETC or ODO who have an exit date in school year X and who completed the year X school term) are counted on the Year X Exit Type Report but not on the Year X dropout report. These students may end up being included on the Dropout Report before Year X+1 (if they don't return to school).] Students w/o exit dates in the most recent YE records for year X. This count includes any student in enrollment status during school year X but whose most recent YE record for year X does not have a WSLS exit date between July 1 and June 30 of that year. [NOTE: Summer high school completers count in this column if they are still in enrollment status through the end of Year X (i.e. June 30) continuing on through August or early September of school year X+1 before exiting.]
Possible Days of Attendance. This is the sum of the Possible Days of Attendance in all year end records for the year of the report. Not counted are (1) records for students whose Max_Age_Year is before the school year of the report and (2) records with missing data in either the Possible or Actual Days of Attendance fields. Note that mobile students with multiple enrollment periods in the same school will have multiple year end records for that school and all of these records count in the sum. On any given row of this report, Actual Days of Attendance plus Days Absent equals Possible Days of Attendance. Days Absent. Days absent is the Possible Days of Attendance minus the Actual Days of Attendance. Note that the "Filter" (right side above the table) defaults to "KG-12, No Retained Gr 12 SwD." This is because grade advancement/retention is not publicly reported for students at the K3, K4, or PK grade levels. Also, for public reporting purposes, students with disabilities at grade 12 will not be counted as retentions if they continue at grade 12 for multiple years prior to high school completion.
Total # of students who completed the school term. This "Total" is the number of students with 'Completed School Term' = Y. All counts to the right of this "Total" are mutually exclusive subsets of this "Total." ISES-calculated promotion. This count includes students whose 'Grade' on the year X+1 'Count Date' is greater than 'Grade' on the year X 'Count Date.' High school completion. This count includes students with 'Exit Type' = HSC. These students do not count as retentions or promotions. ISES-calculated retention. This count includes students whose 'Grade' on the year X+1 'Count Date' is equal to or less than 'Grade' on the year X 'Count Date.' 12th graders not counted in the "High school completion" count are counted here if their 'Grade'=12 on the Year X 'Count Date.' Other promotion/retention. This count includes students with a value in the 'Promotion' field that does not euqal the value that would be calculated by ISES. Students included in High school completion counts do not count here. No data. This count includes students where 'Promotion' is null and 'Exit Type' <> HSC. Null is valid for students with 'Exit Type' = PCC (prior completion credential). Uses: Districts can use the WSAS Roster Report as a tool (1) to identify and correct errors and omissions in WSLS and ISES data used for WSAS purposes prior to DPI submission of a final roster file to the WSAS testing contractor and (2) to plan for necessary edits in the WSAS Record Editing System. For districts with low mobility rates and up to date WSLS/ISES records, the WSAS Roster Report should be very reliable. However, students included in this report will not always match the WSAS testing labels you receive or district students expected to participate in WSAS due to student mobility during the testing window and the fact that report does not cover student status during the entire testing window.
Total Roster Records. This "Total" is based on WSLS and ISES data submitted through, and enrollment status as of, the dates specified under the table. Only students in ISES grades 3-8 or 10 or, if no grade is yet available, WSLS ages 7-18 are included because WSAS testing is in grades 3-8 and 10. IMPORTANT: Note the two dates under the chart. Counts include records submitted/validated as of the first date for students in enrollment status in your district or school as of the second date. Record Source A. Students counted under record source A are expected to have current year ISES count date records from your district. This means that, if your district submits complete and current ISES count date records for these students, then little or no work should be required in the WSAS Record Editing System. If you find errors or omissions in the record source A data, then, in general, you can correct or add these data in WSLS and/or ISES. Timely corrections and additions will be reflected in the Final WSAS Roster File. Corrections and additions made in the WSAS Record Editing System will not be reflected in WSLS or ISES. Record Source B1. Students counted under record source B1 are expected to have current year ISES count date records from another district. This includes students who were enrolled on the ISES count date in another district but who have since transferred to your district. Inclusion of students in record source B1 indicates that these students are likely to have complete data in the final WSAS roster file, and gives your district a chance to preview these data by selecting alternative View By options. If you find errors or omissions in the WSLS data, i.e., gender, race/ethnicity, age (birthdate), and FAY status (enroll and exit dates), then please make corrections in WSLS. Timely corrections in WSLS will be reflected in the Final WSAS Roster File. If ISES data are inaccurate or incomplete and the ISES district doesn't correct these errors, then your district can correct these errors or omissions in the WSAS Record Editing System. Record Source B2. Students counted under record source B2 are not in enrollment status on the current year ISES count date but have an earlier ISES record (either YE from the current collection year or CD/YE from the preceeding collection year) that was used as a source of data for their roster records. Your district may want to preview these data especially because ISES data from this source may not be as current or complete as records from B1 or A. If you find errors or omissions in the WSLS data, i.e., gender, race/ethnicity, age (birthdate), and FAY status (enroll and exit dates), then please make corrections in WSLS. Timely corrections in WSLS will be reflected in the Final WSAS Roster File. If you find errors or omissions in your district's ISES YE record from the current collection year, then, in general, you can correct or add most of these data in ISES. If ISES records used as the source are part of a locked previous year's collection or are from another district, then please use the WSAS Record Editing System to update ISES data for WSAS purposes as necessary. Record Source C. Students counted under record source C are students for whom WSLS is the only source of data for the roster record. If you find errors or omissions in the WSLS data, i.e., gender, race/ethnicity, age (birthdate), and FAY status (enroll and exit dates), then please make corrections in WSLS. Timely corrections in WSLS will be reflected in the Final WSAS Roster File. Otherwise, please use the WSAS Record Editing System to submit the remaining roster data for WSAS purposes as necessary. If your district was affected by student mobility after the ISES count date, then affected students are likely to be listed in record source B1 of another district's report. Submitting complete and accurate ISES count date records is just as important for students who have transferred out of your district as for students who are continuing. The work of all districts will benefit all districts.
