Wisconsin Student Number Locator System (WSLS) File Names


WSLS File Naming Conventions

WSLS (Wisconsin Student Number Locator System) creates html, csv, and xml files when districts upload files, enter data on-line, or make file download requests. Each type of WSLS file is identified by a file description and/or a file name that differentiates it from other types of files. File names include a three letter code and a extension that can be used for identification purposes in the WSLS "Results-File Upload/Download & Mass Entry" screen. This page lists the three letter codes used in WSLS file names and associates them with specific types of reports/files.

LOCATE/ASSIGN WSN TRANSACTIONS

Districts add school enrollment records for individual students to WSLS by using Locate/Assign WSN transactions. After the Initial Load, these transactions should only include students new to your district and students new to a school in your district.

SSL - (School Student Load)
Used to identify (1) Locate/Assign WSN files that districts upload to WSLS and (2) reports to be viewed by districts on-line after Locate/Assign WSN file uploads or mass student entry.

*.SSL.*.CSV - CSV Upload File
*.SSL.*.HTML - WSN File Result Report
*.SSL.*.ERR - WSN XML Error Report

SST - (School Student Transaction)
Used to identify csv/xml files that are returned to districts after successful locate/assign file uploads or mass student entry. These files include WSNs for all successfully processed records; records pending match review are not included because these records do not yet have WSNs. Records pending match review are included in DUP files.

*.SST.*.XML - XML WSN ID File

DUP - (Duplicate)
Used to identify files containing the results of the WSLS student match process. Match results are returned to districts after successful locate/assign file uploads or mass student entry and are provided in the form of (1) html reports to be viewed on-line and (2) csv/xml download files. Included are pending records that contain WSNs but where match issues exist (e.g. birthdate inconsistencies or duplicate records in the same file).

EXIT/UPDATE TRANSACTIONS

Districts change school enrollment records for individual students in WSLS by using Exit/Update transactions. These transactions are necessary to insert exit dates when students exit a school, to update data that are no longer current (e.g. legal name, local IDs), to correct errors (e.g. gender, race, birthdate, place of birth, spellings, enrollment dates), and to add new directory information (e.g. guardians, student aliases, or any optional data not previously submitted).

EUT - (Exit/Update Transaction File)
Used to identify (1) Exit/Update files that districts upload to WSLS and (2) reports to be viewed by districts on-line after Exit/Update file uploads. On-line reports contain file and record failures, errors, and warnings.

*.EUT.*.ERR - Exit/Update XML Error Report

EUF - (Exit/Update Return File)
Used to identify csv/xml files that are returned to districts after successful Exit/Update file uploads. These files include records that were successfully updated and those containing errors.

FILE DOWNLOAD REQUESTS

Districts request WSLS download files through use of the WSLS "File Download Request" function. The codes ENR, ADT, EDT, or XDT identify the download file type (enrolled, assigned date, enrollment date, exit date) selected by your district.

ENR - (Enrolled)
Used to identify files that include students enrolled in the selected school(s) on a specified date or during a specified date range.

ADT - (Assignment Date)
Used to identify files that include students assigned to the selected school(s) on a specified date or within a specified date range.

EDT - (Enrollment Date)
Used to identify files that include students with enrollment date(s) in the selected school(s) on a specified date or within a specified date range.

XDT - (Exit Date)
Used to identify files that include students with exit date(s) in the selected school(s) on a specified date or within a specified date range.
