Possible Match, Error, and Failure Messages
On the WSLS Result Report* there are four different statuses:
- Warning = Record was completely processed (successful) but needs to be investigated because some of the data may be questionable.
- Possible Match = Record processing is pending because Match Review or Exit Confirmation is required before a WSN can be assigned. These records do not cause file failure. Possible Match applies only to locate/assign WSN records.
- Error = Record did not complete for reasons other than Possible Match but did not cause file failure. These reasons are also listed in the Reason Code section of the Interface Specifications.
- Failure = Record (or other situation) that causes a file to fail without being processed.

CODE NOT FOUND OR IS INACTIVE
This value must be a valid code and active in the WSLS system. The value submitted was not found or is inactive. The field with the invalid code is indicated in the far right column of the "Line in Error" message. ACTION: Review the data elements in the WSLS and contact your local programming staff or vendor. For information on data elements see "Preparing your District for the Wisconsin Student Locator System" or the "WSLS Interface Specifications" document available on the DPI website.
FILE filename HAS ALREADY BEEN RUN SUCCESSFULLY
The specified file that has been submitted for upload has already been run successfully. This specific filename has been located in our records to have completed with no errors.
ACTION: Verify that the file you are submitting has a different file name than all files previously submitted. If file name is unique, contact the WSLS Help Desk.
WSN IS NOT A VALID WSN ID
The supplied WSN ID is not valid for the specified student.
ACTION: Use the Individual Student Update function to search for the student by name and to find the correct WSN.
SCHOOL NUMBER NOT FOUND IN DISTRICT: district
The School Number transmitted with the file is not a valid school number in the specified District.
ACTION: Contact your local programming staff or vendor.
FILE filename ERRORED DUE TO XML ERRORS. PLEASE CONTACT YOUR VENDOR
This file is not formatted to the WSLS XML standards. Please use the .err file to locate the problem tag (e.g. The part of the file that is causing the problem.)
ACTION: Contact your local programming staff or vendor.
STUDENTS WERE FOUND THAT HAD ALREADY BEEN ADDED TO WSLS
An exact match of the student was found in the WSLS.
ACTION: Using the Individual Student Search Screen, search for the student using the WSN ID and verify that the student in your Student Administrative Package or SIS matches the student that is retrieved. Verify that the WSN ID is in the student file only once. If it is not, then fix the student with the incorrect WSN ID in your student package. If needed, contact the WSLS help desk.
WSN IS ALREADY OWNED BY THIS SCHOOL AND THE STUDENT IS CURRENTLY ENROLLED
WSN ID is already in use by a student enrolled in this school.
ACTION: Using the Individual Student Search Screen, search for the student using the WSN ID and verify that the student in your Student Administrative Package or SIS matches the student that is retrieved. Verify that the WSN ID is in the student file only once. If it is not, then fix the student with the incorrect WSN ID in your student package. If needed, contact the WSLS help desk.
NOT ALLOWED IN INITIAL LOAD FILE. IF THE INITIAL LOAD FILE HAS BEEN COMPLETED, PLEASE LOGIN TO WSLS AND UPDATE THE INITIAL LOAD INDICATOR (ON THE PREFERENCES SCREEN).
The fields WSN_ID and EXIT_DATE are not allowed in the initial load. The value not allowed is indicated in the far right column of the "Line in Error" message.
ACTION: Be sure that you are not submitting a WSN_ID or an EXIT_DATE in the initial load file. If the initial load file has already been processed, check the preferences screen and make sure that the initial load file completed option is selected.
VALUE MUST BE A NUMBER
This value must be a number using the digits of 0 - 9 and cannot have any decimal places.
ACTION: Contact your local programming staff or vendor.
THE ENROLL DATE CAN NOT BE MORE THAN 14 DAYS AFTER THE FILE PROCESSING DATE
Students that enrolled more than 14 days after the file processing date may not be added WSLS. Students may not be pre-enrolled by more than 14 days. Note: The processing date may be the day of or the day after the file submission.
ACTION: Verify the enrollment date in your Student Administrative Package. If it is correct, wait until the 14 days prior to enrollment and resubmit student.
DISTRICT CODE IN FILE MUST MATCH DISTRICT CODE IN FILE NAME
The District Code in the file must match the District Code in the file name.
ACTION: Contact your local programming staff or vendor.
SCHOOL CODE IN FILE MUST MATCH SCHOOL CODE IN FILE NAME
The School Code in the file must match the School Code in the file name.
ACTION: Contact your local programming staff or vendor.
MISSING
The specified field is missing. The file will not complete successfully until a valid value is transmitted. The missing field is indicated in the far right column of the "Line in Error" message. This error is sometimes returned if an empty XML tag is submitted.
ACTION: Review the data in the WSLS at http://dpi.wi.gov/lbstat/wsnspec.html and contact your local programming staff or vendor.
THE STUDENT'S AGE IS BETWEEN 22 AND 26
This is a warning message to indicate that the student's age is between 22 and 26.
ACTION: Review the data in the WSLS. It is possible that no action is necessary.
THE STUDENT'S AGE CAN NOT BE GREATER THAN 26
The student's age can not be greater than 26. The age is calculated using the student's date of birth.
ACTION: Correct the student's date of birth, and resubmit.
FORMAT SHOULD BE MM-DD-YYYY OR MM/DD/YYYY
The mandatory date format for the WSLS system is the following format: MM-DD-YYYY or MM/DD/YYYY.
ACTION: Contact your local programming staff or vendor.
LOCAL STUDENT ID MUST BE UNIQUE TO DISTRICT AND SCHOOL
The Local Student ID from the WSLS must be unique to the district and school.
ACTION: Contact your local programming staff or vendor.
ALIAS FIRST AND LAST NAME CAN NOT MATCH THE STUDENT'S CALLED FIRST AND LAST NAME
The student's alias first and last name can not match the student's legal first and last name. The two names must be different.
ACTION: Correct the alias or name information, and resubmit.
GUARDIAN INDICATOR MUST BE ONE OF THE FOLLOWING: F - FATHER, M - MOTHER, G - GUARDIAN, O = OTHER
Valid values for the Guardian Indicator are: F - FATHER, M - MOTHER, G - GUARDIAN, O = OTHER. A value must be provided.
ACTION: Contact your local programming staff or vendor.
STUDENT MATCH - SEE MATCH REPORT FOR DETAILS
The student matched another student in the file or a student in the WSLS. In other words, the same student is being submitted more than once in the same file or a student's data matches the data of another student that has already been submitted.
ACTION: Review the data in the WSLS, review the Match Report for details and resolve the matched student.
THE DISTRICT AND SCHOOL WSLS PREFERENCES HAVE NOT BEEN SET. PLEASE LOGIN TO WSLS AND SET THE FILE TYPE, PRIMARY CONTACT AND SECONDARY CONTACT EMAIL INFORMATION.
The District/School has not set the preferences for the Wisconsin Student Locator System. One of the preferences is the file format that they will use when sending/receiving files.
ACTION: Complete the WSLS preferences for the District and each individual school in the district.
THE ENROLL DATE CAN NOT BE MORE THAN 14 DAYS PRIOR TO THE MOST CURRENT EXIT DATE
A student cannot have an enrollment date more than 14 days prior to the exit date of the student's previous school. In addition, the enrollment date at the current school may not precede the exit date of the student's previous school.
ACTION: Check the student's enrollment date and exit date to ensure that they are correct. Contact WSLS help desk if necessary.
THE ENROLL DATE MUST BE UNIQUE TO THE DISTRICT AND SCHOOL
A record exits in the WSLS database for this student with the same district, school and enrollment date. The same student cannot enroll in the same school and district more than once on the same enrollment date.
ACTION: Check the student's enrollment date in the file and compare it with the enrollment date in your local database or vendor's package. Make sure the two match.
THIS STUDENT IS CURRENTLY ENROLLED AT THIS DISTRICT AND SCHOOL AND THE STUDENT DOES NOT HAVE AN EXIT DATE. SENDING THE STUDENT IN THIS FILE IS NOT ALLOWED.
To enroll a student into a school and district that he/she was previously, an exit date must be provided. This error has occurred because no exit date can be found for the given student.
ACTION: Verify that this is a different enrollment period. If so, you must provide an exit date for the student.
THE EXIT DATE CAN NOT BE MORE THAN 7 DAYS AFTER THE CURRENT DATE
A student can be scheduled to leave a school at most 1 week in advance. If the exit date is more than 7 days after the current date, this error is generated.
ACTION: You must set the exit date to be within 1 week from the current date.
EXIT DATE IS NOT ALLOWED IN INITIAL LOAD FILE. IF THE INITIAL LOAD FILE HAS BEEN COMPLETED, PLEASE LOGIN TO WSLS AND UPDATE THE INITIAL LOAD INDICATOR.
An exit date cannot appear on the initial load file.
ACTION: All exit dates must removed from the file if this is the initial load. If the initial load has completed, make sure you have selected the "Initial Load file completed" in the preferences screen. Exit date is an optional field on subsequent files.
WSN CAN NOT BE FOUND TO RETRIEVE THE CURRENT DISTRICT AND SCHOOL.
The WSN is invalid. The district and school could not be retrieved.
ACTION: Contact WSLS help desk.
EMAIL ADDRESSES HAVE NOT BEEN ENTERED ON THE WSLS PREFERENCES SCREEN.
The primary and secondary e-mail addresses needed to complete this transaction could not be found. If this error came as a result of an exit confirmation request, this may be the district where the confirmation email is being sent.
ACTION: Ensure that the primary and secondary e-mail addresses have been set on the WSLS preferences screen. If they have not been filled out, please do so now. If they have been set, please contact the WSLS help desk.
SCHOOL school IS LISTED IN THE FILE TWICE. THE SAME SCHOOL CAN NOT BE REPEATED IN THE FILE.
The same school can not be in a file multiple times. This error has occurred because the stated school is listed in the file more than once and this is not allowed.
ACTION: Contact your local programming staff or vendor.
THE BIRTH COUNTY OR BIRTH CITY IS REQUIRED IF THE BIRTH STATE IS SENT.
If the student's birth state is submitted in the file, then it must be accompanied by the birth city or birth county. This error has occurred because both the birth city and birth county values are missing.
ACTION: Validate the data in your Student Administrative Package or SIS and that you have the birth city or birth county values for the student or contact your local programming staff or vendor.
THE ENROLL DATE CAN NOT BE AFTER 06/30/2004 FOR THE INITIAL LOAD.
The enroll date for a student that is submitted in the Initial Load file must be before or on 06/30/2004. This is because the students in the Initial Load are students for the 2003-2004 school year.
ACTION: Validate the student's enrollment date in your Student Administrative Package or SIS. If you are completed with your Initial Load, review the data in the WSLS and update the Initial Load complete indicator to Yes.
WSN IS VALID, BUT BIRTHDATE GENDER COMBINATION DON'T MATCH.
The WSN ID is a valid WSN but it also must match the student's birthdate and gender combination to ensure that the student is the same student that you are updating.
ACTION: Verify that the WSN that you submitted is correct. Verify the birthdate and gender of the student in WSLS and in your Student Information System. Correct the data and resubmit your file.
NO SINGLE EXACT MATCH FOUND; MATCH REVIEW REQUIRED
The student matched another student in the WSLS. In other words, the student's data matches the data of another student that has already been submitted and in WSLS.
ACTION: Review the data in the WSLS, review the Match Report for details and resolve the matched student.
DUPLICATE STUDENT RECORDS/NAMES FOUND WITHIN LOAD FILE
The student matched another student in the file. In other words, the same student is being submitted more than once in the same file.
ACTION: Review the data in the WSLS, review the Match Report for details and resolve the matched student.
SINGLE EXACT MATCH FOUND (SCHOOL IN YOUR DISTRICT) BUT NO EXIT DATE; EXIT REQUEST SENT IF FILE WAS A SUCCESS
The student exactly matched another student in the WSLS that is currently enrolled in your district. The student currently does not have an exit date so your school can not claim the
student until the current school enters an exit date. An exit request has been generated and sent to the current school if this file was a success.
ACTION: No action needed.
SINGLE EXACT MATCH FOUND (SCHOOL IN ANOTHER DISTRICT) BUT NO EXIT DATE; EXIT REQUEST SENT IF FILE WAS A SUCCESS
The student exactly matched another student in the WSLS that is currently enrolled in another district. The student currently does not have an exit date so your school can not claim the
student until the current school enters an exit date. An exit request has been generated and sent to the current school if this file was a success.
ACTION: No action needed.
EXACT MATCH FOUND BUT MATCH STUDENT ALREADY HAS PENDING EXIT REQUEST; STUDENT IS LISTED UNDER MATCH REVIEW.
PLEASE CONTACT THE CURRENT SCHOOL FOR MORE INFORMATION ABOUT THIS STUDENT.
The student exactly matched another student in the WSLS that is currently enrolled in another district. The student currently has a pending exit request from a different school so
your school is not able to request an exit for the student. The student is listed under the Match Review option on WSLS.
ACTION: Confirm that the student is attending your school. If so, then contact the current school for the student. If the student is currently not at your school,
delete the student from the Match Review screen.
THE ENROLL DATE CAN NOT BE BEFORE THE STUDENT'S BIRTHDATE
The enroll date for the student can not be before the student's birthdate. Please verify the enroll date and the student's birthdate.
ACTION: Identify which date is incorrect, the enroll date or the birthdate and correct the data and resubmit your file.
THE ENROLL DATE CAN NOT BE BEFORE THE CURRENT ENROLL DATE FOR THE STUDENT: MM/DD/YYYY
The enroll date for the student can not be before current enroll date in WSLS. The current enroll date for the student is listed on the error.
ACTION: Confirm the enroll date for the student against the enroll and exit data for the student in WSLS.
THE ENROLL DATE IS INVALID BECAUSE THE SCHOOL WAS NOT OPEN DURING THAT TIME
The enroll date that was submitted is invalid because the school was not open during that date.
ACTION: Confirm the enroll date and the date that the school was open. Contact the WSLS Help Desk if the school should be open during that time.
THE EXIT DATE IS INVALID BECAUSE THE SCHOOL WAS NOT OPEN DURING THAT TIME
The exit date that was submitted is invalid because the school was not open during that date.
ACTION: Confirm the exit date and the date that the school was open. Contact the WSLS Help Desk if the school should be open during that time.
