Reminder Regarding Claim Submission

 
*Please read all the way to the end before attempting claim submission.*
 
During this period of altered meal service due to the COVID-19 public health emergency, the following claiming processes must be followed for any month that includes meals served and indicated on your annual contract.
 
SFAs may claim meals provided according to the program you are participating in: National School Lunch Program (NSLP) or the Seamless Summer Option (SSO), not both. If you are not sure which program your SFA is operating, contact the School Nutrition Team.
 
SFAs that submitted a SFSP contract will claim meals through the SFSP claiming process. Please refer to the SFSP claim instructions for information on claiming under SFSP.
 
SFAs that completed a SSO waiver, see below. Step-by-step instructions are in the SSO Claim Manual.
 
Reminders
  • SFAs may claim up to two meals, or one meal and one snack, per child, per day, in any combination except lunch and supper. This is a SFA decision and reflected in the SSO waiver.
  • All meals/snacks provided must follow the School Breakfast Program (SBP), National School Lunch Program (NSLP), and/or Afterschool Snack Program (ASSP) meal pattern, or have an approved meal pattern flexibility wavier on file, to be reimbursable.
  • Meals/snacks provided must be separately counted and claimed by program for each school nutrition program that the SFA operates.
  • Claims for different meals/snack cannot be combined, even if multiple meals or snacks are provided to the household at the same time, they are counted and claimed separately.
    • For example, Apple School is providing breakfast and lunch at once to households through a drive-through. The breakfast and lunch meals are tracked and claimed separately, with two separate Excel spreadsheets.
  • Meals are claimed at the site where meals are provided. If a SSO meal service site is at a non-school location, claim the meals at the school attendance area of the location.
  • If breakfast is provided, these meals are claimed as Severe Need Breakfast, if the meal service site qualifies based on the 2020-21 school nutrition contract.
  • Meals can be claimed every day, including weekends and planned school breaks/holidays.
  • All children ages 18 and under can eat free and are claimed at the free reimbursement rate, under SSO.
  • Separate meal counts and records must be maintained for meals served under a COVID-19 SSO waiver.
  • Any claims incorrectly submitted and paid are subject to being reclaimed by the state agency.
Since the last week of September was partially in September and partially in October, the three days’ worth of meals given out for September 28, 29, and 30, are claimed on the September claim and the two days’ worth of meals given out for October 1-2 are claimed on the October claim.
