Event Description

Friday, August 7 is the last day for School Directory updates to be included in the printed Wisconsin School Directory 2020-2021. The application will close first thing in the morning on August 10 (Monday). If you have already made all possible updates, thank you, and you do not have to do anything further. In case you have not completed your updates, the following text will help you complete them. Complete instructions for the School Directory application are at the bottom of our School Directory web page.

If your district administrator, independent charter school administrator, or special education director changes while the application is closed, please submit the new contact information in a ticket to Customer Services (Application: School Directory): name, email address, phone number. If a district or school address changes, please submit a ticket with the new address. DPI will update School Directory for these two types of information. Other updates have to wait until the application reopens.

This applies to all districts. It also applies to all 2r/2x (nondistrict/independent) charter schools. Check all the bold paragraph titles below and follow the instructions for the paragraphs which apply to your district or school.

Updates for 2020-2021: The School Directory application is open. You may make 2020-2021 updates for low grade, high grade, school type, and calendar and kindergarten information.

Please take care of the calendar and kindergarten information as soon as possible.

If you don’t see an error message when you log in to School Directory, then your Calendar and Kindergarten information is complete.

Districts with calendar or kindergarten information missing will receive a separate email.

Please do not change a school’s low grade from K4 to anything else unless your district is really not going to report K4 students enrolled at the school in 2020-2021.

Changes made to district and school contact information take effect immediately, so hold any of these changes until the new contacts should actually receive mail or email at your district or school.

This includes name, address, phone & fax, and email address.

Changes to low grade, high grade and school type will be effective for the 2020-2021 school year and can be made at any time.

The application will remain open until August 7 when it will close again for the annual data cleanup period and printed directory preparation.

District/school Calendar: Every district and independent charter must go into the School Directory application and enter the first and last day of school for 2020-2021. The link for doing this is near the upper right of the first page of data (district page). If your schools have different calendars, please use the earliest first day of school and the latest last day of school.

Kindergarten: Every district or independent charter which has elementary grades must complete the three kindergarten items in the School Directory application. The link for doing this is near the upper right of the first page of data (district page).

Districts with New Schools: If your district has new schools for 2020-2021 (only schools which are going to open for sure), please submit a help ticket with the information. New schools will go into the DPI database that will be available for all DPI applications as they begin to process data for 2020-2021. All DPI applications draw from this database. Note, if your district is building a replacement building for an existing school, that is a change of address for the existing school but is not a new school. See below for the information needed in order to enter a new school into the DPI database.

Districts with Schools Closing: If your district has a school which is going to be closed starting in 2020-2021, please submit a help ticket with the school name.

DPI Correspondence Addressed to Former Staff: If you have updated contact information in the School Directory application, but former staff are still getting correspondence from DPI, please let us know the sender’s name so DPI can follow up.

Email Address Format Changes: If the format of your district’s email addresses changes, please change all district and school email addresses in the School Directory application. The email address for the primary contact for each district and school has to be changed in two places: on the district or school, and on the contact information for the individual.

1. Please arrange for all district staff to be notified that they need to go to WAMS Home and click Profile Management to update the email address on their WAMS accounts.

2. If the email address format changes in mid-year, you may need to go into various DPI applications and update the email addresses in the Preferences or Contacts for each school and for All Schools. *Notifications regarding these applications may use the email addresses in the Preferences or Contacts.

3. The District Security Administrator will need to update the Email Domain in WISEsecure.

The above two suggestions will cut down on DPI emails sent to obsolete email addresses.
