Course Code

Course Reference

CWCS Course Codes: Unique identifier assigned to a course. Course code consisted of three parts: a Subject Area, a Course Identifier within that Subject Area, and the Course Level.

Roster Courses: This educational entity is an endpoint that represents the organization of subject matter and related learning experiences provided for the instruction of students on a regular or systematic basis. The Courses end point data will be referenced by other related data elements, such as Student Section Association, as the Course Reference data element.

Note: The Roster Courses endpoint is populated by DPI once the appropriate course code and coordinating attributes are submitted. When searching Roster courses or looking at the CSV course file, there is a generic Roster code in the first column, and there is a former CWCS code that reflects the SCED V. 3.0 codes used. Defer to your SIS vendor for which course code to enter in your SIS.

Term School Year

CWCS Term: An indicator for when the course was offered that varied by district, school, and/or grade level. 

Roster School Year: School Year is a type of reference that defines a particular school year for which Roster data is submitted, e.g., 2017 for this school year. Roster will associate student enrollment information from the current school year with the student's course work.

Roster Grading Periods: These new Roster data elements represent the time span for which grades are reported. The Grading Period Descriptor defines the name of the grading period during the school year in which the grade is offered (e.g., 1st cycle, 1st semester).

Grading Period Begin and End Date: Month, day, and year of the first day and the last day of the grading period.

Grading Period School ID: The unique identifier of the resource assigned to a school by the State Education Agency (SEA).

Grading Period Total Instructional Days: The total days available for educational instruction during the grading period, such as 180.

CWCS Reporting Term: An indicator for when the courses offered varied by district, school, and/or grade level.

Roster Session Terms: Term Descriptor is an indicator for when the course session is offered, e.g., first semester, first quarter, etc. This varies by district, school, and/or grade level. 

Session Begin and End Date: Begin Date and End Date are collected to define the specific time span of the session term. These are required fields. 

Session Total Instructional Days: Total Instructional Days are the total number of instructional days in the school calendar within the term. This is a required field. 

Grading Period (defined above) will also be referenced as part of the Session information.

N/A Class Period Name Roster Class Period Name: Class Period Name is a new Roster data element that defines the portion of a typical daily session in which students receive instruction in a specified subject (e.g., sixth period, block period). This data element links a course to a class's particular time frame by referencing the School Year.
N/A Classroom Identification Code Roster Classroom Identification Code: The new Roster data element Classroom ID Code defines a unique number or alphanumeric code assigned to a room by a school, school system, state, or other agency or entity. SIS vendors and schools may default this value to ‘unknown’ if this code is not currently collected or maintained.
Section ID Unique Section Code

CWCS Section ID: A unique identifier defined by the district that differentiated courses offered in distinct sections to associate teachers to students taught.

Roster Unique Section Code: A Unique Section Code is an identifier for the Section defined by the classroom, subjects taught, and instructors assigned. This is a required field.

Medium of Instruction Type

CWCS Virtual/Online Education: Program where student’s enrollment and participation in the course was done through the internet (online).

CWCS Distance Education: Included participation by a student in a course where the educational materials were provided through cable television, satellite classes, videotapes or correspondence courses.

Roster Medium of Instruction Type: Medium of Instruction Type defines the media through which teachers provide instruction to students in a section and how students and teachers communicate about instructional matters, e.g., technology-based instruction, face-to-face instruction, virtual/online, distance learning, etc.

Bilingual/ESL

Programs

CWCS Bilingual/English as a Second Language (ESL): Class included a course of study designed specifically for students whose native language was not English, delivered either in English or primarily in the native language of the students.

CWCS World Language Courses: Domestic courses of study in languages other than English. Courses may have been designed to meet the needs of heritage or second language learners.

CWCS Dual Enrollment Credit: A program through which high school students have dual enrollments in both high school and college (e.g., youth options, youth apprenticeship) and earned both high school and college credit.

Roster Programs: Programs, including Language Instruction Education Program (Bilingual/ESL), World Language, and Dual Enrollment, will be collected per section with a specific code set for each. Note: Only one program can be submitted through one section.

N/A Sequence of Course Roster Sequence of Course: Sequence of Course is the order number when a course section is part of a sequence of multiple course parts. If the course has only one part, the value of this Section should be 1. This is a required field.
Teacher Role Classroom Position Descriptor

CWCS Teacher Role: A "teacher role" could have been to monitor students, develop curriculum, administer student assessments or work with another educator on a course. In CWCS a teacher role was defined by what the teacher did in a given section.

Roster Classroom Position: Classroom Position Descriptor defines the type of position the staff member holds in a specific class/section, e.g., Primary Instructor, Resource Teacher, Student Intern, etc. This is a required field.

N/A Student Section Association Begin & End Dates Roster Student Section Association Begin and End Date: Student Section Association Begin Date includes month, day, and year of the student's entry or assignment to the section. Student Section Association End Date includes month, day, and year of the withdrawal or exit of the student from the section. Begin date is a required field; end date is conditional field, required once the student has exited the section.

Local Course Title

CWCS Local Course Title: The Local Course Title was an LEA-chosen optional descriptor when the district title differed from the SCED/DPI course title and required descriptor for dual enrollment credit courses.

Roster Course Offerings: These data elements represent entries in the course catalog of available courses offered by the school during a session. Local Course Code: Defines the LEA-assigned local code that identifies the organization of subject matter and related learning experiences provided for the instruction of students.

Local Course Title: Defines the descriptive name given to a course of study offered in the school, if assigned a different title from the SCED/DPI Course Title.
