NSTR The automated process that looks for Entity ID matches between WISEid and ELO no longer requires an assignment record to include staff in the Entity ID lookup. Anyone with a Staff Local Person ID who does not already have an Entity ID is included in the automated search. This should help reduce the number of missing Entity IDs for LEAs. The Birth State list in WISEid now includes additional U.S. territories, such as American Samoa and Guam. The Parent/Guardian data has been cleaned up for student WISEid records to remove exact duplicates. This data is used when reviewing WISEid matches, so users now have fewer matches to review and can identify the correct student’s WISEid more quickly. The Person Change History screen has a new comment for changes that come from the WISEdata update job. The former comment “WISEdata LRK Update Job” is now “WISEdata WISEid Automated Sync”. On the Audit Results screen (under the Reports dropdown in the blue toolbar), the Working Agency filter now defaults to all agencies. This benefits CESA users and other agencies who hire staff for other districts or schools. Users can select a specific agency to narrow down their audit report to view only staff working in a certain district or charter school. NSTR Links to licensing content webpages and within the WISEstaff application now reflect the team’s name change from LEAD to Educator Licensing. NSTR WISEstaff has some nice updates to the licensing download, allowing WISEstaff users to view both preliminary audit reports and final audit reports in a dynamic format. Previously, the preliminary reports were available only as links. Now users will be able to generate preliminary reports using the same dynamic format as the final audit reports for the 24-25 school year and all future school years. We revised the Licensing Download to better correlate an expiring license with a replacement license. This improvement displays which license types can replace expiring licenses when determining whether an expiring license should be included in the report when filtering by expiration date. The adjustment provides more accurate results for agencies when reviewing which staff need to renew their licenses prior to the upcoming school year. NSTR Improvements have been made to the data validations that run when contracts and assignments are submitted. These improvements will reduce the processing time, especially for larger districts, and will allow for a quicker turnaround of updates to message text when clarifications are needed. WISEid now displays a system-generated comment on the Change Request, Comments tab whenever a change request is created from a match review or WISEdata/WISEid update job. The comment informs you of the source of the change request along with a date/time stamp. The WISEstaff system now features improved performance of contract data validations. This allows LEAs to receive more accurate validations for staff with contracts. Additionally, WISEstaff now excludes merged licenses from the Licensing Download report. Excluding these merged licenses benefits LEAs by having cleaner results to review. An error displays when a Student Local Person ID is added when no parent/guardian record exists for that student. In WISEid, all student records should exist with at least one Parent/Guardian association. Parent/guardian data in the WISEid application is used identifying whether an existing WISEid is the correct one to use for a new student. (Corrected on 6-19-2025) The system will display this warning message to save the user from having to re-enter the data after creating the Parent/Guardian record. The WISEid, Message Center User Guide webpage has updated content for Change Requests. There is a new status filter, Pending District Verification, to inform LEAs that they are now, “Waiting for the LEA to confirm that they have reviewed the student or staff person's identity documentation and can verify that the requested change is being applied to the correct WISEid.” Other changes clarify current steps on multiple types of change requests (e.g., first name, middle name, birthdate), as well as when to deny a change request. The following validation KBAs have been corrected and/or clarified: The WISEsecure Role field has been removed from the Local Person ID section on the WISEid Edit Person screen. Because it was an optional field and the data collected was not being used, there is no need to continue collecting that value for person uploads or when using the Edit Person screen in WISEid. Public Staff Reports for the 2024-25 school year were published on May 2, 2025. You can locate them on the DPI Public Staff Reports portal.
