Overview of District Assessment Coordinator (DAC) Responsibilities

The following is a very high level overview of District Assessment Coordinator responsibilities.  For more detailed deadlines and specific dates go to the calendar under each assessment.

 

September

ACT Aspire
  • Clean up users in the Aspire portal. Remove users no longer employed by the district.

ACCESS for ELLs

DLM
  • Activate KITE Educator Portal account for new users
  • Individual Student Reports become available in KITE Educator Portal; print and send home to families

Forward
  • Current DACs must clean up user prior years permissions in eDIRECT. Remove permissions and inactivate any user no longer employed by the district
  • Keep SIS current and regularly push data to WISEdata
  • Accessibility Guide and Training available (End of September)

NAEP
  • Informational packet sent to schools, email sent to DACs
  • Register on MySchool (schools and districts register separately)
  • Update School information on MySchool (designated NAEP school coordinators)

October

ACT/ACT WorkKeys
  • Communicate test dates to relevant team members

ACT Aspire
  • Communicate test dates to relevant team members

ACCESS for ELLs
  • Monitor completion of staff test administration training on WIDA website
  • Ensure technology coordinators install testing software and run system checks
  • Finalize SIS ELP codes for late October roster pull

DLM
  • Updated manuals posted
  • Begin to upload enrollment, user and roster files using new templates

Forward
  • Update DAC and DTC Forms to OSA (due October 10)
  • Technology Readiness Resources Available

NAEP
  • Student "e-file" list submission (state will e-file for schools: ensure Student Information Systems are up-to-date)

November

ACT/ACT WorkKeys
  • Manage test participation in PANext
  • Update school test coordinator contact information in PAnext
  • Accommodation Q & A Training Session (webinar)
  • Test Administration Q&A Training Session (webinar)
  • Submit accommodations requests to ACT

ACCESS for ELLs
  • Finish staff training
  • Ensure technology is working
  • Organize practice tests for students
  • During the last week of November:
    • Adjust test sessions as needed
    • Receive and inventory physical test materials
    • Order additional materials, including braille and large print, extra Writing response booklets if needed.

DLM
  • Begin to download updated secure browser onto testing devices
  • Begin to upload enrollment, user and roster files using new templates

  • DTC Training Presentation via Webinar
  • DAC Permissions assigned in eDIRECT
  • Technology User Guide available

December

  • Submit accommodations requests to ACT
  • Order WorkKeys accommodated materials

  • Download dynamic reports in Aspire portal from the previous year

  • Testing Window Opens

  • Begin to upload enrollment, user and roster files using new templates
  • Oversee completion of required training for ALL test administrators

NAEP
  • Pre-Assessment activities completed on MyNAEP

January

ACT/ACT WorkKeys
  • Deadline for ACT to receive accommodations requests in the Test Accessibility and Accommodations System (TAA)
  • Test administration Q&A training session (webinar)
  • Confirm student rosters (after DPI uploads to PAnext)
  • Order ACT WorkKeys test materials
  • Deadline to submit reconsideration requests of ACT-Approved accommodations in TAA

Aspire
  • Download TestNav to all testing devices

ACCESS for ELLs
  • Additional material order window closes (3rd week)
  • Test window closes (last week)

DLM
  • Begin to upload enrollment, user and roster files using new templates
  • Oversee completion of required training for ALL test administrators

  • Schools conduct pretest sessions
  • Schools conduct room supervisor and proctor training
  • Deadline for ACT to receive accommodations requests for students who are new to school or with recent medical conditions
  • Initial ACT administration date
  • Return initial test date materials to ACT
  • Order make-up test date materials

ACT Aspire
  • Technology readiness Q&A session (webinar)
  • Test Administration Q&A session (webinar)
  • Confirm student data in portal
  • Enter paper test accommodations (American Sign Language, Braille, and Large Print into PNPs)
  • Create paper test sessions

ACCESS for ELLs
  • All materials due back at DRC for scoring (first week)
  • Data validation window – ensure non-tested codes, student demographics correct

DLM
  • Data Validation/Revisions (preparation for operational spring window)
  • Oversee completion of required training for ALL test administrators
  • Deadline to make braille in PNP
  • Send Parent Notification Letters/Brochures

  • Online Tools Training (OTT) available
  • Item Sampler available- Updates posted
