Error 7471: Logic Updated

The logic for Error 7471 has been modified so that students enrolled in LEAs providing Free/Reduced (F/R) lunch to all students, yet who are not economically disadvantaged, do not encounter this error.

To do so, the error will now use DPI Econ Status as the base calculation instead of Food Service Program Descriptor on the student School Food Service Program Association (/sSFSPA).

WISE Landing Page: Redesign Complete

The WISE landing page has been redesigned by user role. The landing page still features the WISE system graphic, and is now also sporting a listing of common roles for customers visiting our webpages: data entry specialists, principals and administrators, teachers, families, and more. 11 new role-based webpages have been created to help provide users reference to webpages across many DPI teams. Support pages are connected with matching icons for visual cuing. Each support page contains a message across the bottom, encouraging customers to use the ‘Submit Feedback’ button to provide us with ways to improve the links on each page: "Find a page that you wish was listed here? Click the big, purple, 'Submit Feedback' button below, and we'll get that added for you."

L2 7464: Logic Edit to Exclude Some Schools

Error 7464 was new for the 2023-24 school year and threw when the First Day of School (FDS) and Last Day of School (LDS) data was not submitted. Logic for this error has been updated so that detention schools and alternative schools do not receive this error. This error does throw for public districts, non-district charter schools, CMO, DOC, DHS, County CDEBs, and State Schools.

WISEdata Webpage Updates

WISEtraining: Redesign Complete

WISEtraining has been redesigned by topic (previously by content type, i.e., mini-tutorial section, video section, etc.). Now users who are looking for answers about an application (WISEid, for example) or a topic (data security, for example) can click that tile and be taken to a landing page on that selection. The landing page links out to other resources. Videos are now embedded within the web content (i.e., completing the DSA Authorization Form). There is also an Index of WISEtraining Pages webpage if you prefer to locate this content in list form.

NEW! Webpages for Private/Choice Schools

To fill a gap in our WISEdata content, two new pages have been created to provide more detailed reporting information for private schools, Choice and Non-Choice. The new webpages are: Private Schools, Choice and Non-Choice Data Reporting Information webpage and the Choice Schools: Yearly Data Reporting Resources webpage.

NEW! Webpage for Ed-Fi Credential API

The Ed-Fi Credential: Submitting Data to DPI webpage was also created to fill a gap in our WISEdata content. This page explains what an API is, and details about Ed-Fi Credential as DPI’s application for housing the credentials required for student information systems and WISEdata Portal to connect.

Overlapping Enrollment Rules: Updated

There are three rules that are now all Errors in WISEdata Portal that trigger on overlapping enrollments: 6469, 6374, and 6373. These KBAs have been clarified for LEAs to understand why they receive one error, but the other LEA involved in the overlapping enrollment receives a different error.

The Customer Services Team managed Data Security webpage now provides more in-depth content, along with a plethora of links organized for persons who may be requesting data from DPI, seeking data security information as a school or family member, and links about data security about WAMS and WISEhome related topics.

School Directory has two distinct applications: a public portal, and a secure portal. The content for these two applications has been split, so that each application has its own content about its specific features and functions.

A series of new snapshot resource pages have been created to provide LEAs with better guidance on how to perform data quality checks to prepare for Wisconsin’s two annual snapshots (December and May).

“Report Card Selection” Data Element page

This Choice school specific data element page was updated to provide better explanation of the Opt In/Opt Out selection that must be made annually. Contact information was also listed for various DPI teams who could answer questions about the Private School – All School Report Card.

Entity ID data element page

  1. ow has content added that is part of the WISEstaff Weekly User Group Capp, explaining how to obtain an entity ID and why it’s so important.

WISEdata Help: Return of the Long-Lost Validation Rule List

  • Due to an error, the Validations Rule List was removed from the WISEdata Help page. This has been found and returned to its rightful place on the Help page. This Validation list is updated nightly. Scroll to the bottom of the two columns, above the Community Resources section.

WISEsecure Roles: Download Available

Based on customer feedback, we have created a .csv file with all User Roles for all of the WISEsecure applications listed on the WISEsecure Roles webpage. LEAs can now download this file, and edit it for their convenience (e.g., delete applications that they do not use, add column listing the name of your agency’s staff member who holds each role, etc.).

Snapshot Preparation Guidance Page: All Slide Decks Posted

The Snapshot Preparation Guidance webpage now has all three slide decks (Public, Choice, Charter) linked in the “Slide Decks and Webinars” section.

WISEid User Guide Page: Six Steps to Appeal a Denied Change Request

The WISEid User Guide, Change Requests section was given some new details to emphasize the required Six Steps to Appeal a Denied Change Request. Many users get to Step 4 or 5, but if Step 6 is not completed, the request will remain closed.

WISEstaff User Guide, Staff Collection Checklist Step-by-Step Guide: Updated

The Staff Collection Checklist section of the WISEstaff User Guide, has been updated to reflect the 2023-24 school year changes.

WISEstaff User Guide, Report Menu - Audit Results Section: Updated

The Audit Results section of the WISEstaff User Guide – Reports Menu, has also been updated to reflect the 2023-24 school year changes. This refers to Step 3a of the Staff Collection Checklist, and features a new customizable reports option.

“Exit Types” Data Element Page: Corresponding Reason Exited SpEd Codes

The Exit Types data element page was updated again. Within each exit type’s accordion drop-down section, you can now also find the corresponding “Reason Exited Special Education” code.

“Cluster Title” Data Element Page: Updated

The Cluster Titles data element page was formerly called the Career Pathways data element page. The URL remains unchanged, but the content has been updated to reflect current CTE content.

Warning 7481: Ensure Individualized Education Plan (IEP) is Present for PK Enrollment

PK enrollments only need to be submitted to WISEdata when a student has an IEP and is receiving services. Any student with an IEP must also have a student special education program association (sSEPA) record submitted.

Error 7193: Missing Secondary Level World Language (‘SLWL’) from Grade Levels 7 to 12

Logic on World Language validations are undergoing continuous improvement ‘tweaks’ on their logic to help ensure they are throwing as accurately as possible. This warning should throw when a WL program (SLWL) is missing in one or more grade levels, as opposed to any one specific grade level.

Warning 7191: Missing World Language Course from Grade Levels KG to 12

Logic on World Language validations are undergoing continuous improvement ‘tweaks’ on their logic to help ensure they are throwing as accurately as possible. This warning throws for schools that are expected to offer World Language programs to their students. To fix this, ensure that your school is associated with WL course codes that align with the grade levels offered at your school.

Warning 7187: Missing World Language Course from Grade Levels KG to 12

Logic on World Language validations are undergoing continuous improvement ‘tweaks’ on their logic to help ensure they are throwing as accurately as possible. 7187 should throw when students in grade levels 7-12 are enrolled in a section with ‘Exploration of Multiple World Languages’ course.

7127: Updated Logic

Error 7127 is about a graduation plan not meeting the minimum number of health credits. The logic for this error was repaired to improve accuracy. When users left the number of health credits blank, the error would throw, but if users entered the number of health credits as zero, the error was not throwing. The new logic causes this validation to throw only when the field for health credits is either blank or less than 0.5 credits.

6474: Performance Improvements Made

Warning 6474 is about zero attendance. This is a very important validation to run accurately because it is a large measure represented in snapshots/report cards for customers, as well as a  few reports in ternal to DPI. Some programming adjustments were made to ensure this warning is throwing accurately.

  • The WISEadmin: Info, Help and User Guide webpage has been upgraded, linking to a new Mini-Tutorial on the WISEtraining webpage:
    • Updating Agency Contacts in WISEdata Portal is a new Mini Tutorial located on the WISEtraining webpage. It provides current and detailed instructions on when and how to accomplish updates to primary, secondary, and generic contacts listed in WISEdata Portal.
      • This mini-tutorial supports the WISEadmin User Guide because there is no actual updating of Agency Contacts within the WISEadmin Portal itself. Agency Contact information gets posted and updated in WISEdata Portal and is then pushed over to WISEadmin Portal. This is a value-added service to our users because it eliminates users completing duplicate tasks.

The above banner was posted on the DEWS About the Data webpage, the CCREWS About the Data webpage, and the Student Profile Dashboards About the Data webpage on the morning of Thursday, Oct 12, stating that DPI’s early warning dashboards are no longer available as of that date. As DPI evaluates its future use of these early warning systems, LEAs are encouraged to use local data to guide interventions focused on dropout prevention, and ensuring college and career readiness for all students.

  • Validation Warning 6396: Logic was modified to not validate the middle name.
    • This warning throws in WDP when a student’s name displays differently in WDP than it does in WISEid. For a time, a student’s middle name was included in the logic for this validation (e.g., the middle name in WISEid was fully spelled out, but there was only an initial in WDP), but it caused numerous instances for a number of LEAs receiving this warning.
    • To alleviate this stress from our LEAs, the logic for this validation warning has been revised to no longer validate the middle name in WISEdata Portal.  
  • NEW! Validation Error 7471: Student without parent/guardian address.
    • This new validation was created due to a change in federal guidelines about Pandemic EBT monies.  
  • NEW! Validation Warning 7472: School without food service programs.
    • This warning makes sure that LEAs that submit a value of zero students receiving free and reduced lunch to confirm that this unexpected number is accurate.
  • NEW! Validation 7475: Alert for Choice schools to submit disability data with their LEA.
    • The KBA is not published yet for this validation. This validation applies only to Choice schools, reminding these LEAs that they are required to submit student disability data to DPI.

  • Warning 7190 – This warning displays around World Language courses for students in grades 6 or higher. A bug was causing the warning to display for students in grades below grade 6 (i.e., PK). This bug was fixed, and the validation is now working as expected.
  • Warning 7440 – This warning displays around World Language courses for students in grades 5 or lower. A bug was causing the warning to not display for students in grades below grade 5 (i.e., PK). This bug was fixed, and the validation is now working as expected.
  • Error 7478NEW for 2023-24 SY - This error displays when LEAs select Native languages which is no longer used or are obsolete. The KBA links out to the Native Language data element page. The FAQ section on this data element page houses a resource LEAs can use to check if a language they have entered is listed on the ‘obsolete language list.
  • Error 7479NEW for 2023-2 SY - This error displays when LEAs select a language of instruction which is no longer used or are obsolete. The KBA links out to the Native Language data element page. The FAQ section on this data element page houses a resource LEAs can use to check if a language they have entered is listed on the ‘obsolete language list.

KBAs for Validations (Errors and Warnings)

NEW! Warning 7473

This new warning 7473 throws when the student’s school of primary enrollment submits an ELP Code of 7, and this does not align with the last submitted ELP Code. An ELP Code of 7 means that a student was never an EL student. But, if a student record has anything other than a 7 (i.e., 1-6) listed, this means the student either currently is or at some time has been an EL student. So, entering a 7 to indicate the student was ‘never an EL’ creates a mismatch of data. 

Warning 6396

This rule, Warning 6396,  was temporarily switched off for the 2023/24 SY to fix a bug. The warning was throwing when the middle name was left blank, and this is not a required field. The bug has been resolved and the rule will be turned back on again on Tuesday, August 22, 2023.

If you need the Internet Home Access Survey translated into Hmong, please email Rachel Schemelin. Please provide your name, the name of your LEA (school/district), and the language into which you need the survey translated.

Error 7441

The logic for this rule is changing. This rule is being adjusted for the 2023-24 school year and going forward. Previously, the error was associated to International Baccalaureate (IB) courses, specifically the following courses:

  • IB Primary Years (IB-Primary)
  • IB Middle Years (IB-Middle)
  • IB Diploma Programme (DiplProg)
  • IB Career Related Program (IB-Career)

The updated logic will allow better precision, throwing the error only when a student section has a Dual Enrollment program that also involves an AP course, an IB Diploma Programme, or an IB Career Related Program. Dual enrollments never apply to students in elementary or middle school grades.

The updated KBA for Rule 7441 currently reflects these changes.

  • Error 7469 is a new error; Incomplete Exit Information. Required fields are missing, 'Exit Type' and ‘Exit Date.’ It is a combination of former Errors 7062 & 7063.

  • Error 7468 is a new finance (WiSFiP) Error that will throw when Multiple Residency Periods exist and enrollment dates overlap.

Replacement KBAs

  • Error 7455 (primary school does not match enrollment type - New to replace Error 6806 & Error 6813)

  • Error 7460 is replacing Error 7154 due to changes in the Digital Equity Survey questions that started with the 2023-24 school year while following the same logic as Error 7154. Error 7154 is for the 2022-23 school year and prior.

  • Error 7464 is replacing Error 6607 for the 2023-24 school year. The reason for the change is that starting with the 2023-24 school year, the First Day of School (FDS) and Last Day of School (LDS) will be collected from SIS vendors. This data will then push out to WISEdata and School Directory. Previously this data had to be manually entered into School Directory. Verify dates and data flow timing with your SIS vendor for accuracy.

  • Error 7465 is replacing Error 7092 for the 2023-24 school year. Error 7465 follows the logic of Error 7092, but has been updated to match the changes in residency codes for Choice schools.

Discipline Validation Replacements:

  • 6665 is now a Warning (no longer an Error)

  • Error 7447 is replacing Error 7155 for the 2023-24 school year. Error 7155 will no longer be used after the 2022-23 school year has ended. Discipline data is now combining student behavior type and incident type for WISEdata reporting and WISEdata Portal exports.

  • Error 7448 is replacing Error 6685 for the 2023-24 school year going forward due to a change in behavior data collection endpoint association.
