Archive Release Notes for WISE Website and Documentation Update
The WISEdata Portal Validation Messages mini tutorial has been updated with refreshed content and screenshots. The Tags feature is now described within the mini tutorial. Another new mini tutorial has been published! This mini tutorial provides instruction on how to locate prior year ACCESS Test scores and ELP Codes on both WISEdata Portal and on WISEdash for Districts. Information for Choice schools on how to use the WISEdash Extracts Export as a substitute source of data for WISEdash will be added soon. You can find all of the mini tutorials on the WISEdata Portal Tutorial webpage. A new User Guide has been published, for How-To: Student Cohorts for Tribal Affiliation. NSTR NSTR The Data Errata webpage has been rearranged so that all of the headers of the accordions match the Categories available from the WISEadmin Portal. Additionally, due to an updated records retention policy & practice, DPI is only required to maintain five (5) years of Data Errata letters, which are all available on the main Data Errata page. All Data Errata letters beyond this five-year span are no longer kept. As such, the Data Errata Archive webpage is no longer being maintained. A helpful process document was published in the WISE Community Team, General channel’s Files. This PDF is screen-reader accessible and describes how users can set notification preferences for Teams. A new mini tutorial has been created to assist in this, called Removing Records from WISEdata Portal. The idea for this mini tutorial came from our ticket queue, as this is a topic that customers frequently need help with. The following mini tutorials on the WISEdata Portal Tutorials webpage have been updated with new screenshots and content to reflect updates to the WISEdata Portal user interface: The District Library Plan section of the WISEadmin User Guide has been updated with screenshots and content to correctly match current upgrades to the user interface. The Courses data element page has been updated with the announcement that all courses are now available on WISEdata Portal. LEAs now have the ability to view, filter, and export the entire Courses list within the WISEdata Portal. Simply click on the Resources menu, and then click the Courses tab. The Program Areas Type data element page has been updated with a new title: CTE Department/Program Areas Type data element page. The new title reflects updates to the CTE nomenclatures. The URL for the webpage has not changed. Google Workspaces: Chat has been replaced with a Microsoft Teams channel - WISE Community! A new User Guide has been published, for How-To: Student Cohorts for Tribal Affiliation. NSTR NSTR NSTR The WISEdata Conference webpage has been updated with: The logic for Error 7471 has been modified so that students enrolled in LEAs providing Free/Reduced (F/R) lunch to all students, yet who are not economically disadvantaged, do not encounter this error. To do so, the error will now use DPI Econ Status as the base calculation instead of Food Service Program Descriptor on the student School Food Service Program Association (/sSFSPA). NSTR To support the release of the updated School Directory Management Portal in mid-February, the additional data element page for Educational Service (PK) was created. The WISEstaff Manage Staff Data User Guide has a new feature: the Snapshot Tool on the Download Staff Files screen. (NOTE: Download Staff Files used to be called Copy Forward Files.) The landing page still features the WISE system graphic, and is now also sporting a listing of common roles for customers visiting our webpages: data entry specialists, principals and administrators, teachers, families, and more. 11 new role-based webpages have been created to help provide users reference to webpages across many DPI teams. Support pages are connected with matching icons for visual cuing. Each support page contains a message across the bottom, encouraging customers to use the ‘Submit Feedback’ button to provide us with ways to improve the links on each page: "Find a page that you wish was listed here? Click the big, purple, 'Submit Feedback' button below, and we'll get that added for you." NSTR NSTR Error 7464 was new for the 2023-24 school year and threw when the First Day of School (FDS) and Last Day of School (LDS) data was not submitted. Logic for this error has been updated so that detention schools and alternative schools do not receive this error. This error does throw for public districts, non-district charter schools, CMO, DOC, DHS, County CDEBs, and State Schools. NSTR WISEtraining has been redesigned by topic (previously by content type, i.e., mini-tutorial section, video section, etc.). Now users who are looking for answers about an application (WISEid, for example) or a topic (data security, for example) can click that tile and be taken to a landing page on that selection. The landing page links out to other resources. Videos are now embedded within the web content (i.e., completing the DSA Authorization Form). There is also an Index of WISEtraining Pages webpage if you prefer to locate this content in list form. To fill a gap in our WISEdata content, two new pages have been created to provide more detailed reporting information for private schools, Choice and Non-Choice. The new webpages are: Private Schools, Choice and Non-Choice Data Reporting Information webpage and the Choice Schools: Yearly Data Reporting Resources webpage. The Ed-Fi Credential: Submitting Data to DPI webpage was also created to fill a gap in our WISEdata content. This page explains what an API is NSTR NSTR There are three rules that are now all Errors in WISEdata Portal that trigger on overlapping enrollments: 6469, 6374, and 6373. These KBAs have been clarified for LEAs to understand why they receive one error, but the other LEA involved in the overlapping enrollment receives a different error. The Customer Services Team managed Data Security webpage now provides more in-depth content, along with a plethora of links organized for persons who may be requesting data from DPI, seeking data security information as a school or family member, and links about data security about WAMS and WISEhome related topics. School Directory has two distinct applications: a public portal A series of new snapshot resource pages have been created to provide LEAs with better guidance on how to perform data quality checks to prepare for Wisconsin’s two annual snapshots (December and May). This Choice school specific data element page was updated to provide better explanation of the Opt In/Opt Out selection that must be made annually. Contact information was also listed for various DPI teams who could answer questions about the Private School – All School Report Card. The WISEid User Guide, Change Requests section was given some new details to emphasize the required Six Steps to Appeal a Denied Change Request. Many users get to Step 4 or 5, but if Step 6 is not completed, the request will remain closed. The Staff Collection Checklist section of the WISEstaff User Guide The Audit Results section of the WISEstaff User Guide – Reports Menu The Exit Types data element page was updated again. Within each exit type’s accordion drop-down section, you can now also find the corresponding “Reason Exited Special Education” code. The Cluster Titles data element page was formerly called the Career Pathways data element page. The URL remains unchanged, but the content has been updated to reflect current CTE content. NSTR NSTR PK enrollments only need to be submitted to WISEdata when a student has an IEP and is receiving services. Any student with an IEP must also have a student special education program association (sSEPA) record submitted. This warning should throw when a WL program (SLWL) is missing in one or more grade levels, as opposed to any one specific grade level. NSTR NSTR Error 7127 is about a graduation plan not meeting the minimum number of health credits. The logic for this error was repaired to improve accuracy. When users left the number of health credits blank, the error would throw, but if users entered the number of health credits as zero, the error was not throwing. The new logic causes this validation to throw only when the field for health credits is either blank or less than 0.5 credits. Warning 6474 is about zero attendance. This is a very important validation to run accurately because it is a large measure represented in snapshots/report cards for customers, as well as a Updated KBA 7473 based on the past few weeks of User Group questions to provide a better customer experience with this new Error. This new warning 7473 throws when the student’s school of primary enrollment submits an ELP Code of 7, and this does not align with the last submitted ELP Code. An ELP Code of 7 means that a student was never an EL student. But, if a student record has anything other than a 7 (i.e., 1-6) listed, this means the student either currently is or at some time has been an EL student. So, entering a 7 to indicate the student was ‘never an EL’ creates a mismatch of data. This rule, Warning 6396, was temporarily switched off for the 2023/24 SY to fix a bug. The warning was throwing when the middle name was left blank, and this is not a required field. The bug has been resolved and the rule will be turned back on again on Tuesday, August 22, 2023. School Modification Form has been reorganized to provide clearer instruction on when Customers need to use the School Modification Form, open a Help Ticket or just make the changes in School Directory. The new District Library Plan data element collection via WISEadmin has been added to the Data Elements collection. Error 7468 is a new finance (WiSFiP) Error that will throw when Multiple Residency Periods exist and enrollment dates overlap. Error 6481 (Max Age) Errors 6392, 6626, 6649, 6676, 6719, 6799, 7129, 7145, 7191, 7193, 7440 Error 7455 (primary school does not match enrollment type - New to replace Error 6806 & Error 6813) Error 7460 is replacing Error 7154 due to changes in the Digital Equity Survey questions that started with the 2023-24 school year while following the same logic as Error 7154. Error 7154 is for the 2022-23 school year and prior. Error 7464 is replacing Error 6607 for the 2023-24 school year. The reason for the change is that starting with the 2023-24 school year, the First Day of School (FDS) and Last Day of School (LDS) will be collected from SIS vendors. This data will then push out to WISEdata and School Directory. Previously this data had to be manually entered into School Directory. Verify dates and data flow timing with your SIS vendor for accuracy. 6665 is now a Warning (no longer an Error) Error 7447 is replacing Error 7155 for the 2023-24 school year. Error 7155 will no longer be used after the 2022-23 school year has ended. Discipline data is now combining student behavior type and incident type for WISEdata reporting and WISEdata Portal exports. Error 7466 covering Residency is replacing Error 6628 for the 2023-24 school year going forward due to a significant change in logic and some residency data element changes in regards to the Pupil Count for Membership WiSFiP application. Error 7467 is replacing Error 6631 for the 2023-24 school year going forward. We've published new snapshot preparation guidance pages for submitting and checking graduation data.
