WISE Webpage/Documentation Updates
District of Residence Data Element Webpage: General Updates
The District of Residence (Resident District) data element page received some content updates on outdated information:
The Students Receiving Off-Site Services Uncommon WISEdata Situations webpage was linked, replacing an older webpage no longer is use.
PK was separated from the primary full grade range of K4-12, as PK is a service and not a grade. The Grade Level Placement data element page was also linked for reference.
Contact information for the School Financial Services Team was included in the page’s footer, should anyone have questions on this content as it relates to the WiSFiP Pupil Count Pilot Program.
WISEdash Webpage Updates
WISEdash for Districts: May Demographics Terminology Update
The WISEdash for Districts: Snapshot Dashboards - May Demographics page has been updated. The update replaced all instances of the term Spring Demographics with May Demographics to reflect the updated dashboard title.
KBAs for Validations
Warning 7505: New WISEdata Validation KBA
A new KBA has been created for Warning 7505. This warning displays when WISEdata detects that 50% or more student section associations are marked with an 'Insufficient' attempt status within a school.
Validation Error 7460: KBA Update
The Validation Error 7460 KBA has been updated to reflect the terminology change from "Digital Equity" to "Digital Opportunity".
CST and Other WISE Webpage Updates
Data Errata Webpage: Less Clutter
The Data Errata webpage now sports a cleaner, less cluttered look. Accordions on top contain general information, as well as sample template letters for various data errata categories. Our retention policy states the years of data errata we keep stored, and the accordions at the very bottom feature actual data errata letters submitted by LEAs.

WISEid Collection Filter: Data Elements Associated
The WISE Data Elements landing page recently had some edits made to the ‘Collection’ filter. One new filter was added for “WISEid.” All associated data elements are now linked to this new filter, and information added into the “USES” section of each data element page, since WISEid records can be linked to either a student or staff record.
WISEdata Conference Page: Data Security Slides Added
The data security presentations given by Ross Lemke have all been uploaded to the WISEdata Conference webpage, slides section.
Data Elements for Students Who Are Transgender Page: Updated Content
The Data Elements for Students Who Are Transgender page has been updated with a link to a support documentation. The page and the resource provide detailed information on how to maintain accurate student records based on required data elements.
Tribal Affiliation Data Element Page: Updated Content
The Tribal Affiliation data element page has been updated with refreshed content and links to external pages the provide grant funding related to this data element.
Expected Transfer Response Data Element Page: Updated Steps
The Expected Transfer Response data element page has been updated with improved steps on how to access the Expected Transfer screen in WISEdata Portal.
Courses Data Element Page: Updated List for 2024-25 SY
The Courses data element page has been updated with a refreshed version of the 2024-25 SY courses.csv list.
Student Address Data Element Page: New Address Exports Update
Information about the new exports (Invalid Addresses and Valid Addresses) has been added to the Student Address data element page.
Slides and Videos Page: Slide Deck and Text Only Support Document Uploaded
The WISEtraining Slides and Videos webpage now has the slide deck and text only support doc of the slide deck uploaded for the May Demographics Snapshot training that will take place throughout the month of April. The May Demographics Snapshot will occur at 9:00 a.m. on May 13, 2025. Visit the WISE Events Calendar to attend our virtual training, or to register for various in-person training dates across the state.

Help Ticket Tips: Updated Accordion Section
The Help Ticket Tips webpage has an accordion section that details all of the apps listed on the WISE help Ticket’s “Applications” drop-down list. This section has been added to include all applications listed, even those that aren’t directly supported by the DPI Customer Services Team. Information is listed for the DPI staff and teams who serve as subject matter experts on these applications.

WISEdata Conference: It’s Almost Here!
The WISEdata Conference webpage is being updated to provide you with the latest and greatest content. Updates include:
- Registration closes today, Tuesday, March 4, 2025!
- Slides were uploaded and posted on March 4th, 2025.
- Updated Agenda at a Glance posted
- Programs reviewed: room changes to accommodate more guests in popular sessions.
- Information about our donation drive, “Head to Toes,” and how you can donate.
WISE Data Elements: Update to Filters
Some changes were made to the filters on the WISE data element landing page.
- Attendance filter, changed to:
- Enrollment
- Completion/Exit filter, changed to:
- Year End Completion
- Digital Equity filter, changed to:
- Digital Opportunity
- Language Instruction, changed to:
- Language Instruction Education Program (LIEP)
- Spring Demographics, changed to:
- May Demographics Snapshot
- WISEid, added as a new filter.
Data elements filter name changes occurred to reflect continuous improvements to the standardization of our nomenclatures across applications and platforms.
If you have bookmarked these filtered collections, “No results available” may display. To fix this, simply revisit the data elements landing page, reselect and apply the new filter, then resave/replace your bookmarked URL with the new results.
Each data element will be reviewed to ensure that it is applied to every filter appropriate, making it easier for LEAs to know exactly what data needs to be reported for various records. We hope this process is especially beneficial for local education agencies during snapshot seasons.
WISEtraining, Slides and Videos Webpage: Updated WISEstaff Training
The Slides and Videos webpage has been updated with the WISEstaff: New User, Final Certification Training, covering steps three and four of the Staff Collection Checklist. Both a recorded video and the slide deck are now posted. The WISEstaff final reporting deadline is approaching quickly. You have until March 18th to complete all updates in WISEstaff, enter all staff data for both licensed and unlicensed assignments, pass validations, review all staff reports, and indicate that they are certified for the “Final Agency Certification.”
Snapshot Preparation Guidance Webpage: May Demographics Snapshot Section
In anticipation of the May Demographics Snapshot, the “May: What’s Collected?” section of the webpage has been updated with a new graphic and accordions to better clarify the exact data elements that need to be captured for this snapshot.
Looking for help on this? Attend a WISE Regional Workshop. This spring, DPI Customer Services is coming to an area near you to better assist you in preparing for the May Demographics Snapshot and year-end tasks, as well as provide one-on-one support.

WISEdash: Digital Opportunity Terminology Updates
The WISEdash for Districts: Digital Opportunity Dashboard and About the Data - Digital Opportunity WISEdash webpages on DPI’s website have been updated to reflect updated terminology. Instances of the term Digital Equity have been renamed to the updated term, Digital Opportunity.

WISEid: Info, Help and User Guide Revamp
The WISEid: Info, Help and User Guide page has been updated for better readability. Previously, the full user guide was housed directly on the main page, making it difficult to navigate. Now, the user guide has been organized by topic on individual pages, mirroring the organization of the WISEstaff User Guide. This enables LEA staff and other external readers to find WISEid information quickly and seamlessly. We welcome your feedback as you visit and make use of the WISEid landing page.
Annual Data Collections: Tasks and Checklist Webpage Updates
There is a new update for the Spring Snapshot and School Year Close-Out Season section of the Annual Data Collections: Tasks and Checklist webpage. The information has been refreshed, and the accordion formatting is now consistent with the other sections on the webpage.

Change of Name: Digital Equity is Now Digital Opportunity Gap
All webpages pertaining to digital equity are being renamed as digital opportunity gap. Most of the webpage changes are complete, including WISEdata webpages, WISEdash webpages, and the Digital Opportunity Gap data element collection. However, the filter on the data element landing page, as well as nomenclatures listed within a number of DPI WISE applications, may continue to read ‘Digital Equity’ until summer of 2025.
Ed-Fi Credential Webpage: Navigation Menu Added
The Ed-Fi Credential Application webpage, nested under “Info for Vendors” in the left-side WISEdata menu of the DPI website, now features a navigation menu. This makes it easier for viewers to locate information in a specific section on the webpage. ‘Return to top’ links allow for easy access back to the menu.

WISEdash for Districts: ACCESS and Alternate ACCESS Data
New Alternate ACCESS data is available in WISEdash for Districts. Results can be located on the Student Profile screen for those students who took the 2023-24 Alternate ACCESS test. Visit the WISEdash for Districts ACCESS Dashboard About the Data webpage, ‘Scores Provided, ACCESS Current and Former EL’ section to find steps on how to locate student scores.
KBAs for Validations
WISEdata Portal: Updated KBA Logic for Validation Error 7460
When users are taking the Digital Equity Survey, some of the answers provided can create contradictions, resulting in Validation Error 7460. The KBA has been updated to reflect this error under the Contradiction Scenario 1 - Questions 1 and 2 Do Not Align section.

Data Errata Webpage: New Template Added for October 1 Child Count
A new template was added to the Data Errata webpage specifically for October 1 child count data. There are some very specific requirements that must be submitted in order for DPI to complete adjustments in WISEgrants, particularly for the IDEA formula allocations and IDEA Maintenance of Effort (MOE).

School Directory: Application Closed for 2024-25 School Year
The School Directory Management Portal: Annual Required Updates webpage now states that the School Directory is closed. No more updates can be completed within the School Directory Management Portal application for the 2024-25 school year. If you need help making changes to information when School Directory is closed, please submit a Help Ticket, and select School Directory Updates from the application drop-down list.

The WISEdata Conference webpage now displays two versions of the program of sessions:
- A standard program, listing all sessions chronologically, and
- A program of sessions by the various ‘tracks’ we are offering for 2025:
- New Users/Beginner Track
- Career and technical Education (CTE) Track
- Data Privacy and Security Track
- WISEgrants Track
- WISEstaff Track
- General WISEdata Track (for all attendees, including Choice schools)
If/as changes occur, the WISEdata Conference webpage will be updated.
Birth Date and Student/Staff Name Data Element Webpages: Updated
The Birth Date data element webpage and the Student/Staff Name data element webpage were both updates with helpful content from DPI’s Student Services, Prevention, and Wellness (SSPW) Team. The update is a reminder to not photocopy birth certificates, and that resident districts cannot deny a student a school enrollment due to a child not having a birth certificate.

Alerts section of the WISEstaff Message Center User Guide and the Alerts section of the WISEid Message Center User Guide have been updated with more detailed guidance.

SEORA Data Element Webpage Title: Updated Content
The SEORA data element webpage, pertaining to Indicator 11, or Timely Initial Evaluations (TIE) for special education, has been updated. Clarifications have been made between SEORA records, SSEPEA records, and SSEPA records. More information on SSEPA records can be found on the Programs data element page.
SIS Conversion Guidance: Updated Content
The SIS Conversion Guidance webpage (Info for Schools) webpage has been updated. The new content provides clearer guidance on when and how to consider changing SIS vendor tools. DPI’s recommended best practice is not either switch vendors during the summer months, but never in the fall, as the disruption of data flow to DPI can severely impact your LEAs December snapshot data.
Slides and Videos Webpage: Snapshot Preparation Materials All Posted
The Slides and Videos webpage now has all of the materials (PowerPoint slide deck, Q&A document, and YouTube video from the November 14, 2024 virtual snapshot training) posted in the December Snapshot section.

Help Ticket Tips Webpage: Clarification on “One Item per Help Ticket”
The Help Ticket Tips webpage added some clarification to the previous request to create one Help Ticket per item.
Like items can be counted as one ticket. For example, if you have several students all receiving the same error, you can submit one ticket for the error.

Help Ticket Tips: Example Scenarios Added to Top Block of Text
As a way to provide value added content more quickly, a few “tips” have been added to the top block of text on the Help Ticket Tips webpage:
Only list one item per Help Ticket. If multiple items are listed, the ticket can accidentally be closed before all items are resolved. Always open a new Help Ticket for a new item. Never reply to a closed/resolved Help Ticket. Both of these practices help DPI get more accurate data on Help Ticket requests, which helps us know where to focus our efforts for improvement.
